Havelock North Motor Lodge

Thank you for choosing to book with Havelock North Motor Lodge. We take pride in providing a home-away-from-home experience. By making this booking you are entering an agreement with us. Please read our terms and conditions of booking below.

By accessing this website, you agree to accept, without limitation or criterion, all of these terms and conditions of use.

All reservations made at Havelock North Motor Lodge are made subject to these terms and conditions and the person making the reservation will be deemed to have accepted these terms and conditions on behalf of all persons who will be staying or using the facilities at the Havelock North Motor Lodge under the reservation (once the reservation is accepted and confirmed by Havelock North Motor Lodge).

You agree that you will make only legitimate reservations in good faith for use by you and your invited guests only, and not for other purposes, including without limitation, reselling, impermissibly assigning or posting on third party websites, or making speculative, false or fraudulent reservations, or any reservation in anticipation of demand.

Definitions

In these terms and conditions:

"We", "our", "us" and "the property" means Havelock North Motor Lodge.

"You" and "your" mean the person who is making the reservation.

“OTA” means Online Travel Agent, typically organisations such as Bookingt.Com, Expedia, Hotels.Com, Wotif, etc.

Prices

You agree that you will pay to us the room rate for each day of your stay and any additional charges up until the time you advise us that you have departed from our property.

The price is room only unless extras such as cooked or continental breakfast and specified at the time of booking and included in the booking confirmation. Any additional items purchased at the property will be added to your final invoice for payment on check-out.

Your booking will specify whether your booking is ‘non-refundable’ in which case you will have enjoyed a discount on booking and the full amount of the booking is payable in advance. For these booking, no refund can be given.

Standard bookings are generally payable at check-out although may be paid on arrival or at your convenience during your stay. Changes to these bookings are subject to the provisions set out in these terms and conditions.

Booking Confirmation & Deposit

We generally do not ask for a deposit but for large group bookings, a deposit of 20% may be requested and any such deposit will become non-refundable at or within 60 days from the arrival date of the reservation.

If you book via an OTA you will be sent a booking confirmation by that OTA. If you do not receive one, please contact us and we can issue one from the property.

If you book through the Havelock North Motor Lodge website or you contact us directly, you will receive a booking confirmation directly from us.

Please check the detail in your confirmation to ensure that the booking details are correct and contact us immediately if changes are needed.

Reservation Terms

All rates are quoted in New Zealand Dollars on a per night basis and include GST of 15%. All accounts must be settled directly with the Havelock North Motor Lodge in New Zealand Dollars. Please note that when using an overseas credit card, the price advertised might not be the same price charged to the credit card account due to exchange rate fluctuations and/or the addition of credit card fees as explained in these terms & conditions.

Use of Online Travel Agents (OTAs)

If you are booking through an OTA (such as Booking.Com or Expedia) the cost of your first night’s accommodation may be debited to your credit card at the time of booking. The Credit Card fee is added to this charge. This policy does not apply to booking made directly through the Havelock North Motor Lodge website or direct with the Property.

Cancellation of Booking

By making your booking, our agreement is a legal contract and you agree to our terms and conditions.

Should your travel arrangements change you should inform us as soon as practicable to allow us every opportunity to re allocate the room(s).

All cancellations and amendments should be received in writing (email) and all cancellations must be received no later than 7 days prior to your arrival. If you cancel within 7 days of your planned arrival you will incur a cancellation fee equivalent to the first night’s tariff. If you cancel within 24 hours of your planned arrival or if you fail to show (no-show), you will incur a cancellation fee equivalent to the full cost of the booking. The property will endeavour to re-sell the suite you have cancelled and if successful, may at its discretion, refund part or all, of the cancellation fee to you.

A booking which is booked as “non-refundable” may be cancelled but no refund will be given.

If a booking was made using an OTA, then any cancellation request must be processed via that OTA and the property accepts no responsibility for any failure on the part of the client or the OTA to properly action the request.

If you need to cancel the booking due to extreme weather conditions or exceptional family circumstances we are happy to transfer your booking to another date depending on availability.

Payment

Payment should be made on arrival by either cash, credit or debit card. We do not accept some credit/debit cards so please ask if your card is acceptable. All credit card transactions are secure, and no data collected is offered to third parties for any reason. All transactions comply to the relevant legal requirements at the time of the transaction.

If you are using a credit card to pay for your accommodation, a small surcharge is applied to cover the associated merchant service fees charged by the Banks.

  • The fee for all Visa & Master Card transactions is 2.0%.
  • The fee for American Express and Diners transactions is 3.0%
  • Eftpos and Cash payments are free of any processing fee.

This surcharge will be added to your invoice at the time of payment.

Amendment of Booking

Standard bookings may be amended free of charge up to 24 hours prior to check-in time on the day of arrival (2pm). Any amendments requested will be subject to availability. Amendments to your booking within 24 hours will be accommodated at the discretion of the Havelock North Motor Lodge, however a cancellation fee may apply where part of the booking is cancelled.

Special-rate bookings or bookings which have been discounted in some way, can only be amended at the discretion of the Havelock North Motor Lodge. Any change in date will be subject to availability and acceptance of any applicable rate change.

If a booking was made using an OTA, then any amendment request must be processed via that OTA and the property accepts no responsibility for any failure on the part of the client or the OTA to properly action the request.

Special Events

When a booking spans a period of a special event (such as the Art Deco Festival or the Mission Concert), the standard terms and conditions normally pertaining to a booking will be altered. Havelock North Motor Lodge will make this clear in the confirmation email.

All bookings will be subject to a minimum booking period (normally 2-3 nights). Any booking made cannot be shortened and any booking cancelled will be subject to a cancellation fee equivalent to one night's tariff. These conditions apply from the time the booking is confirmed.

Group Bookings

When a booking is lodged for four or more rooms, that booking will be considered to be a 'group booking'.

A group is defined as four or more rooms booked for people requiring accommodation for the same itinerary and/or common purpose. Havelock North Motor Lodge reserves the right to amend all terms and conditions of this contract should the rooms required fall below four rooms per night.

No group booking reservations will be secured or guaranteed unless a deposit for at least 20% of the booking total is received. This must be paid within five working days from the time the reservation was confirmed.

Group bookings may be cancelled free of charge up to 2 months (60 days) before arrival. When confirmed group booking reservations are cancelled inside 60 days prior to arrival, they will incur a cancellation charge of 20% of the total booking charge. In the first instance, this charge will be debited against any deposit paid at the time of booking and the deposit will become non-refundable. Otherwise, if credit card details are held, this charge will be debited against the credit card number. Standard cancellation terms will apply for cancellations received within 24 hours of the arrival date or for a 'no-show'.

Subject to the terms already outlined, amendments may be made to a group booking free of charge up to 60 days before arrival. Amendments made within 60 days of arrival will be accepted at the sole discretion of the Havelock North Motor Lodge and will be subject to the cancellation policy already outlined above.

All group bookings will be subject to a minimum booking period (normally 2-3 nights). Any bookings made cannot be shorteded and any bookings cancelled will be subject to a cancellation fee in accordance with this policy.

Non-availability of Accommodation

We would only cancel your stay if your accommodation was unavailable for reasons beyond our control. We would however attempt to find you alternative accommodation, if we were unable to find suitable accommodation our liability would not extend beyond this point.

Pets

Sorry, we do not generally allow pets however, please discuss your requirements with us. We will do our best to accommodate animals providing disability assistance. If a pet is taken into any Unit without our express consent, a commercial cleaning fee may be charged.

Arrival

Your accommodation will be available to you from 2.00pm on the day of arrival, unless otherwise arranged. We may not be able to accommodate you if you arrive earlier than the agreed time as we will be busy preparing your rooms. However, you may drop off your bags, pay for your stay and collect your room keys at an earlier time by prior arrangement.

If you require an earlier check-in time, please discuss your needs with us. We will do all we can to accommodate your request.

It would also be very helpful if you could advise us of your approximate time of arrival at the time of booking. If that time changes or if you are going to be arriving late, please make arrangements to have your key left in a convenient location for you. The office closes at 9pm

When you check-in, you may be asked to provide photographic identification. Failure to provide such identification may result in the cancellation of your booking.

Late arrival procedure

Please ensure you contact us to let us know if you will be arriving later than 7pm, and inform us of your estimated time of arrival. If necessary, we will leave a key in a convenient location for you and advise how to gain entry to your Unit.

Check-out Procedure

Please vacate your room by 10.00am, unless otherwise arranged. We will try to accommodate any requests for a later check-out time, however this is always subject to availability and cleaning requirements.

Smoking

Havelock North Motor Lodge is committed to providing its guests with a smoke-free environment in all indoor areas. This includes all forms of tobacco as well as e-cigarettes. Any breach of this policy will result in a commercial cleaning fee being levied.

Damages and Breakages

Please take care when staying in our Units. You are responsible and liable for any breakages or damages which you cause to the accommodation or its contents. We ask is that you do report any incidents when they occur. We do not normally charge for minor breakages, but we will charge you for repair or making good if the damage or breakage is significant.

Any theft, loss or damage to the guest room or other areas of the property during the guest's stay may be charged to the credit/debit card provided, or billed to the guest and may include loss of income if applicable. In the event the repair required to rectify the damage or loss exceeds $1,000 then the property may claim on its insurance policy and the cost of the excess will be charged to the guest's credit/debit card. Any malicious damage will be referred to the Police.

Guests agree to be held personally liable for any charges incurred during their stay. In the event of a booking for more than one room (a group booking) the lead or registered guest (the lead guest) providing credit/debit card details is personally liable for any person, group, company or association that fails to pay all or part of such charges.

Additional Charges

The following costs will be charged to the room account should the need be apparent:

  • Lost Keys: $10 per key
  • Dry Cleaning of duvets or bedspreads: $40 per item
  • Additional room cleaning surcharge: $40 per room
  • Carpet Cleaning: $150 per room
  • Damage to Rooms: cost of repair
  • Breakages: cost of replacement
  • Missing Chattels: cost of replacement
  • Return of Lost Property: cost of courier/postage
Website Availability

Havelock North Motor Lodge website is accessible worldwide to anyone with Internet access. However, the site may not be continuously available due to maintenance or repairs or due to computer problems or crashes, disruption in Internet service or other unforeseen circumstances.

Visitors

You may have visitors in your Unit, however they must vacate the premises by 9.45 pm. Please check with reception before parking a visitor car in the car-park to ensure that space is available.

Noise

In order to ensure the comfort of all guests, parties and /or other excessive noise within rooms are not permitted at any time. Guests are asked to cooperate with management and cease any such activity immediately when asked. A failure to comply when requested may result in eviction from the property.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

Debt Recovery

If it is necessary for the Havelock North Motor Lodge to take any form of debt recovery action relating to any booking made at the property, all costs associated with such action will be passed on to the person against whom the recovery action is taken.

Privacy Policy

We adhere to the National Privacy Principle relating to the collection, use and disclosure of personal information.
